Privacy Policy

This policy explains what HappyWorka collects, why we collect it, how long we keep it and the choices you have. It is maintained by the HappyWorka team and is written to be read, not skimmed past.

1. Who we are

HappyWorka ("we", "us") provides career scoring, resume building and optimisation, career health tracking, a remote jobs board, community features (the Community Wall, Yards and Messages), a peer-to-peer Marketplace, a blog and newsletter, games, and anonymous employee survey tools. 2. Information we collect

  • Account data — your name, email address, password (stored only as a secure hash by our authentication provider) and the account type you choose (individual, HR or admin).
  • Profile data you choose to add — job title, industry, country, years of experience, skills and department.
  • Resumes and documents — the CV files you upload, stored in private storage, plus the scores and reports generated from them.
  • Career health check-ins — your weekly 1–10 ratings and any notes you add.
  • Survey data — for HR accounts, the surveys and invite lists you create. Employee responses are stored without any link to the respondent's identity.
  • Billing data — plan, subscription status, payment reference and amount. Card details are entered on our payment processor's page and never reach our servers.
  • Security and audit logs — records of significant account actions, used to investigate abuse and protect accounts.
  • Community and Yards content — the posts, comments, polls, reactions, events and RSVPs you create, plus your Yard memberships. Posts you mark anonymous hide your identity from other members, but we still store the link internally for safety and moderation.
  • Messages — the private messages you send and receive, stored so conversations persist. We do not read them except where required to investigate a report.
  • Marketplace data — your listings (title, description, category, price, location, availability, photos), your chosen contact preferences and any phone number or email you publish on a listing, saved listings, reviews you write or receive, and reports you submit.
  • Newsletter data — if you subscribe, your email address, first name, subscription status and delivery records. Every email includes an unsubscribe link.

3. How we use your information

  • To provide the features you ask for: scoring, optimisation, trends and analytics.
  • To authenticate you and keep your account secure.
  • To process payments and manage subscriptions.
  • To send service email you would expect — verification, password reset, receipts and (only if you leave the setting on) reminders and product updates.
  • To respond to your support requests.
  • To detect, prevent and investigate fraud, abuse and security incidents.

We do not sell your personal data, and we do not use your resumes to train public AI models.

4. Anonymous employee surveys

Anonymity is the point of this module. Survey responses are stored with the survey and an optional department label only — no user ID, name, email or IP address is attached. Employers see aggregated results and cannot trace an answer back to an individual. Because of this, we cannot retrieve or delete a single response on request once it is submitted.

4b. Content you publish to others

Community Wall posts, Yard content, Marketplace listings, seller reviews and leaderboard entries are shared with other users by design. Public Yards and Marketplace listings are visible to any signed-in member; private and secret Yards are restricted at the database level to their members. Only publish what you are comfortable others seeing — anything you put in a listing, including a phone number or email you add as a contact method, becomes visible to the people who can view that listing. You can delete your own posts, listings and reviews at any time, though copies may remain in backups for a limited period.

5. Sharing and processors

We share data only with the service providers needed to run HappyWorka, and only to the extent required:

  • Our cloud hosting, database, authentication and file storage provider.
  • Our payment processor, to take payments and manage recurring billing.
  • Our transactional email provider, to deliver account and support email.
  • Our transactional email provider also delivers the blog newsletter and monthly career health reports to subscribers.
  • The AI provider used to generate blog drafts, CV insights and monthly career health summaries. Content sent for these features is processed to return your result and is not used to train public models.
  • The external AI assistant used by the CV Optimizer — this only receives content when you actively choose to start an optimisation and paste your text there.

We may also disclose information where legally required, or to protect the rights and safety of our users.

6. Security

  • All traffic is encrypted in transit over HTTPS.
  • Row-level security policies enforce that you can only read and write your own records.
  • Uploaded resumes live in a private bucket and are served only through short-lived signed links to their owner.
  • Role-based permissions separate individual, HR and admin capabilities.
  • Marketplace and community images are stored in a private bucket and served through a controlled proxy, not from a public URL.
  • Yard privacy (public, private, secret) and Marketplace visibility are enforced on the server, not just hidden in the interface.

No system is perfectly secure. If we ever become aware of a breach affecting your data, we will notify affected users without undue delay.

7. Data retention

We keep your account data for as long as your account is open. Resumes, scores and check-ins are kept until you delete them or close your account. Billing records are kept as long as required for accounting and tax purposes. Community and Yard posts, Marketplace listings, reviews and messages are kept until you delete them or close your account, except where we must retain a record of a report, block or suspension for safety and abuse prevention. Newsletter records are kept while you remain subscribed, plus a suppression record after you unsubscribe so we do not email you again. Anonymous survey responses are retained in aggregate and cannot be individually removed.

8. Your rights and choices

  • Access, correct or update your profile at any time in the app.
  • Delete individual resumes and check-ins yourself from their module.
  • Delete your own posts, comments, Marketplace listings and reviews, leave any Yard, and choose how often you receive career health check-in reminders.
  • Unsubscribe from the newsletter from the link in any issue, and block or report another member from their listing or post.
  • Turn notification categories on or off in Settings.
  • Request a copy of your data, or deletion of your account and its data, by emailing happyworka@gmail.com. We aim to respond within 30 days.

9. Cookies and local storage

We use only what the product needs: a secure session token kept in your browser so you stay signed in, and local preferences. We do not run third-party advertising trackers.

10. Children

HappyWorka is intended for people in or entering the workforce and is not directed at children under 16. We do not knowingly collect their data.

11. Changes to this policy

We may update this policy as the product evolves. Material changes will be announced in the app or by email, and the effective date above will be updated.
